An AI customer support chatbot that answers repeats and routes the hard ones
Most of a support desk's day is the same few questions, arriving on four channels at once. Risolva's customer support chatbot answers them from your policies and schedules, and sends billing disputes, cancellations and upset customers to the teammate or team you choose, thread attached.
- Rules for billing disputes, cancellations and VIPs
- Frustrated and angry messages flagged on arrival
- Freezes and account changes through your own API
- Policy and schedule PDFs as answer sources
The same questions all day, spread across four apps
At a chain like Brightwell Gyms, most messages are repeats: what time is spin, can I bring a guest, how do I freeze. They arrive on WhatsApp, Instagram, Messenger and the website at the same time, so whoever is on shift spends the morning retyping answers. Meanwhile the message that matters, a member charged twice, sits in the same pile as a dozen schedule questions.
- Each channel has its own app and its own backlog, so nobody sees the whole queue at once.
- Class times and policies change every season, and saved replies quietly go out of date.
- A disputed charge or an angry member waits behind routine questions, then gets passed around the team.
Four messages from a Monday at Brightwell Gyms
Brightwell Gyms is an example chain of nine gyms with one member services desk. For each message below you can see what the AI checked, and where a person took over.
- Tue 5:45am
- Spin, 45 min
- Tue 6:00am
- HIIT, 45 min
- Tue 7:00am
- Yoga flow, 60 min
- Reservations
- Open 48 hours ahead
- Member
- Ben K., All-Club, $54.99 a month
- Found by
- The WhatsApp number writing in
- Freeze
- Oct 14 to Dec 14
- Fee
- $10 a month
Goes to your team: This only works because Brightwell connected a custom action to its member system. Without one, the AI explains the freeze policy and passes the request to the desk.
- Matched
- Topic is Cancellations
- AI reply
- Skipped, the rule fired first
- Notified
- Marcus T.
- Member sees
- The rule's own handoff message
Goes to your team: Marcus opens the thread with its tags, gets a short AI summary when he takes over, and can offer the $24.99 Basic plan or a $10-a-month freeze before he processes anything.
- Kept at
- The front desk where it was found
- Held for
- 30 days
- Valuables
- Logged and locked in the manager's office
Goes to your team: No rule covers lost items, so this escalation goes to everyone with the Agent role, and whoever is free takes it over from the inbox.
Who gets the hard conversations at Brightwell
Brightwell's rules run top to bottom and the first match wins, so an upset VIP reaches Priya before the general rule for upset members applies. A matching rule takes the conversation before the AI replies, which is why Brightwell keeps rules for the topics it always wants a person on. When the AI escalates a chat that no rule matches, everyone with the Agent role is notified. Rules like these come with the Growth and Enterprise plans.
- Upset VIP members go to PriyaP1
Member is marked VIP and sentiment is frustrated or angryRoutes to Priya S.Personal-training clients and corporate accounts are marked VIP in the inbox, and when one of them is unhappy, the member services lead hears about it first.
- Billing disputes go to the billing teamP2
Topic is Billing disputesRoutes to Billing team (group)Only the billing team can see the payment processor, so double charges and refund requests notify all three of them at once and whoever is free replies.
- Upset members go to TashaP3
Sentiment is frustrated or angryRoutes to Tasha W.Tasha can waive a fee or add a free week, which an upset member needs far more than another automated answer.
- Cancellations go to MarcusP4
Topic is CancellationsRoutes to Marcus T.Marcus can offer a cheaper plan or a freeze before a cancellation goes through, and he reads why the member wants to leave before he replies.
What Brightwell connected before going live
The first three use accounts, files and pages Brightwell already had. The fourth is optional, and it is what lets the AI change an account instead of only explaining the policy.
The channels Brightwell members already use
We connected Brightwell's WhatsApp Business number, its Instagram account (for direct messages) and its Facebook Page (for Messenger) with them during onboarding, and they pasted one script tag into the website for web chat. The desk works all four from a single inbox, on a laptop or a phone.
The membership policy and the FAQ page
One PDF covers guests, freezes, cancellations and billing errors, and the member FAQ page on the website covers everything else, from parking to lost and found. When a policy changes, the desk updates that source and replies follow the new version.
A class schedule for each gym
Nine schedule PDFs, one per location, swapped out each season. A schedule exported straight from the studio software works as it is, and so does a scan of the printed timetable, because the AI reads scanned PDFs too.
The member system, if you want account changes
Two custom actions, lookup_member and freeze_membership, call Brightwell's member system API. On WhatsApp the lookup uses the number the member is writing from, not a number typed into the chat, and freezes have Requires approval switched on. Someone at Brightwell with API access set them up with our team.
A menu bot or an AI customer service chatbot at the member desk
What changes for Brightwell's desk when members stop clicking through button menus and a customer support chatbot reads what they actually wrote.
| Compared on | Rule-based chatbot | Risolva AI agent |
|---|---|---|
| A question in the member's own words | "Can my sister come Saturday?" misses the Guests button, so the bot sends the main menu again. | Reads the question as written and answers from the guest section of the membership policy. |
| A new season's schedule | Someone retypes class times into the flow for every location. | The desk swaps in the new schedule PDFs and answers follow them. |
| A freeze or other account change | Collects details in a form for the desk to key in later. | Runs freeze_membership on your member system after the member replies yes, once that action is connected. |
| Billing disputes and cancellations | One "Talk to staff" button, so a double charge waits in the same queue as a parking question. | Rules send them to the billing team or the retention teammate with the whole thread and its tags. |
| An upset member | Keeps getting the same menu options. | The message is tagged frustrated or angry as it arrives, and a rule can hand it to a senior teammate right away. |
What people ask about a customer support chatbot
A customer support chatbot is software that answers customer questions automatically in a chat window or messaging app. Risolva's is an AI agent that works on WhatsApp, Instagram, Messenger and web chat, answers common questions about policies, schedules, pricing and hours, and passes your team anything it can't answer, plus any topic you've chosen to keep with a person.
Bring your ten most-asked questions to a demo
Book a demo and we'll run them through Risolva with your own policies, show which ones the AI would answer and which a rule would route, and sketch the handoff rules your desk needs.
